English Phone Call Phrases You Can Actually Use
What to say when you cannot see the other person: start the call, ask for a repeat, hold, leave a message, and end.

Phone calls are harder than the same conversation in a room. You lose the face, the nod, and the chance to point. You also cannot pretend you heard a word you did not hear, because the next step depends on it. The phrases that matter are not elegant. They are the ones that start the call, slow it down, and end it with the other person knowing what happens next.
Start so they know who you are
Say your name, your reason, and one check that they can talk. Ten seconds.
Hi, this is Maria Lopez. I'm calling about the Tuesday delivery. Is now a good time?
If it is a bad time, you want to know before you explain the delivery. "Is now a good time?" is not small talk. It is a way to avoid talking to someone who is in a stairwell and will miss the date.
If they called you:
Hi, this is Maria. Yes, I can talk.
Then wait. Do not fill their hello with your whole story. Let them say why they called if you are not sure. If you are sure, you can help them. "You're calling about the invoice?" saves both of you.
When you do not hear
This is the skill. Ask for the piece you missed, not for "everything again" unless you truly lost the thread.
- Sorry, I didn't catch the time. Was it three or three thirty?
- Could you repeat the address slowly?
- I lost you after "the warehouse." What was the next part?
- The line is bad. Could you say the number once more?
"Sorry?" alone works with friends. On a work call, add what you need. People repeat the wrong half if you only say sorry.
Spell when a name or an email matters.
- That's L-O-P-E-Z.
- I'll spell the email: m as in Maria, then lopez.
Say the email in chunks. "maria, dot, lopez, at..." is clearer than one rush. Then ask them to read it back. "Could you read that back to me?" feels fussy and prevents a lost parcel. Use it.
Hold, transfer, and the message
You will be put on hold. You will be transferred. Short lines keep you from sounding lost.
- Could you hold for a moment? I need the order number.
- Thanks for waiting. I have it.
- I'm going to transfer you to billing. I'll stay on until they answer.
- They're not picking up. I can take a message.
Leaving a message, say less than you want:
- Your name, spelled if it is new to them.
- Your number, slowly, twice if the matter is urgent.
- One sentence of why.
- What you need them to do. Call back, or send the form. Not both, unless both are real.
This is Omar Haddad, H-A-D-D-A-D. My number is 555 010 22. Again, 555 010 22. The Thursday visit was cancelled and I need a new time. Please call me back today.
Write the number in digits in front of you before you call. Searching for it while you speak is how digits arrive in the wrong order.
End with the next step
Do not fade out with "okay okay okay bye."
- So you'll email the new time, and I'll confirm today.
- I'll call the warehouse and then I'll text you.
- Thanks. That's all I needed.
If you agreed a time, repeat the time. "Friday at ten, your time." Time zones eat appointments. One extra sentence is cheaper than a missed call.
Practice without waiting for a real emergency
Write a thirty-second call you expect: a delivery, a doctor, a landlord, a client. Mark the number you must hear and the number you must say. Then do the call out loud to a recording.
- Start with name, reason, and "is now a good time?"
- Ask for one repeat, even if you are alone. Practice the line.
- Close with the next step.
Do it twice. The second time, pretend the line breaks after the address. Say the "I lost you after..." line. That line is the one people do not have when they need it.
Calling technical support is a full version: the other side will not follow your script, which is what real calls do. A clinic call has its own scene in making a doctor's appointment if that is the call you fear. Use the real one. Phrases you do not need will not stick.
If your trouble on the phone is speed rather than phrases, slow the other person with one line and do not apologize for it. "Could you speak a little slower? I want to get the address right." Then use the repeat lines. Speed shame makes you say "yes" when you did not hear. "Yes" is the expensive filler on a phone. There is more on fillers in English filler words.

Say one example out loud
Pick one line from this page and change it so it is about your day. Say it once without reading. If you want a follow-up after that, FluencyPal can continue in a call or a voice message on Speaking with AI. A daily lesson stays on one pattern, then asks you to talk for a couple of minutes. The free plan includes a limited number of speaking messages. Paid Practice access is one payment and does not auto-renew. Current amounts are on the pricing page.
